10-090 Archiving Course Materials and Deleting Old Courses
Good to know
Outdated courses regularly cause confusion among students and make the catalog and your personal course lists cluttered. You can prevent this by ending courses (see HelpCard 10-080) or deleting courses that you no longer need.
If necessary, you can archive a participant list (Steps 1-3) or perform data archiving to secure exam-relevant submissions/results (Steps 5-6) before actually deleting the course (Steps 7-8).
Here's how to proceed
➊ To do this, click on Member Management under Administration in the toolbar (at the top) of the course to be deleted.
- The Member Management window will open.
➋ Click on the download icon (downward arrow, left of the gear icon) above the member list on the right.
- Only the visible columns will be exported (further columns can be revealed by clicking on the gear icon). The window for saving the member list will open.
➌ Save the Excel file.
➍ Close the Member Management section with the red cross (top right).
- If there are exam-relevant materials, you should also archive these.
➎ To archive exam-relevant materials, click on Data Archiving under Administration in the toolbar menu (at the top).
The data archiving tool will open.
- Select the corresponding components from the left menu and archive or save the file(s).
➏ Close the Data Archiving tool with the red cross (top right).
- If you need the course for the upcoming semester for a new cohort, copy the course before deleting it (see HelpCard 10-070). It is generally better to work with a copied course in the new iteration than to continue an existing course with new participants.
- If the course contains groups, the groups will not be automatically deleted when the course is deleted. Before deleting the course, go to Member Management and, if not done yet, enroll yourself as a group supervisor. You can then manage the group (in the Groups menu under the My Groups tab) even after the course is deleted (e.g., unsubscribe students) and reuse or delete it in another course.
➐ Select Course > Delete from the toolbar menu on the left.
➑ Choose Delete Course: Activate the confirmation and click on Delete.
- All user data and course materials will be removed. As the owner, you will see the emptied course in the authoring area under Deleted.
- The course can be restored without user data.
- The course can only be permanently deleted by an administrator.
