20-020 Member Management
Good to know
Within the member management of a course, you can view and manage the participant list, create, edit, and delete groups, as well as assign different rights to different groups. If you are using a booking method, you can also view the list of bookings here.
This help card explains how to add individual people as well as entire lists of people to courses.
Here's how to proceed
➊ Click on "Member Management" at the top under Administration in your course.
- The member management section will open.
- In the menu (on the left), you can view and manage members, groups, bookings, and rights of the course (for rights groups, see HelpCard 20-040).
➋ Select "Members" from the menu on the left.
- A list of all members will be displayed.
- Above the list, you can choose which member you want to view (All, Owners, Supervisors, Participants, or the Waiting List).
➌ To add a new member, click on "Add Member" at the top.
- The "Add Member" window will open.
➍ Enter (for example) the name of the person you are looking for and click on "Search."
- All individuals with that name will be shown.
➎ Check the data, mark the desired person, and click on "Next." Confirm the verification by clicking "Next" again.
➏ Select the respective member rights in the course (above) or the group membership in a group linked to the course (below), and click on "Next."

➐ If desired, deactivate the email notification and click on "Finish."
- The person has been added to the list.
- If you check the box next to a name in the participant list or click on "Select All X Rows" below the list, you can edit, remove, or send an email to individual/all persons (see HelpCard 20-050).
Adding Multiple People to the Course: Member Import
If you have a list of multiple usernames, email addresses, or institution numbers of the course participants, proceed as follows:
➊ Click on "Member Management" at the top under Administration in your course.
- The member management section will open.
➋ Select the "Import Members" option from the drop-down menu.
- A field will open where you can paste either usernames, email addresses, or institution numbers of the participants. Confirm your input by clicking "Next."
- Note: Users who have never logged into OpenOlat will not be found by the system. Contact the person by email and inform them that they can log into OpenOlat to be added to the course. The rest of the participant list will remain intact, and you can continue with the process.
➌ Choose the member rights (Participant, Supervisor, or Owner) and group memberships (optional).
➍ If necessary, you can notify the persons by email that they have been added to the course.
➎ Click on "Finish."
